    Job Descriptions and Responsibilities for Executive Board/Office Personnel

    -All members are responsible for Calendar Events and Conventions for Local 124 and are accountable for a minimum numbers of hours per week.

    President 

    -It shall be the duty of the President to preside at all meetings of this Local and to supervise the daily operations. 

    -Shall be a member ex-officio of all committees. 

    -All committees shall be appointed by the President and shall be comprised of not less than three (3) members in good standing.  Together with the Secretary-Treasurer, he /she shall sign all orders and checks lawfully and properly drawn. 

    -He/She shall enforce strict observance of IAFF Local 124’s Collective Bargaining Agreement along with the Constitution and By-Laws of IAFF Local 124 and the International. 

    -He/she shall have direct supervision and authority over the activities of all Executive Board members, office personnel, chairpersons/members of all committees, and Local 124. 

    -The President shall discharge on behalf of the Local Union such duties as may be imposed upon him/her by applicable law including the execution and filing of any reports to the Federal or State authorities, and he/she shall cause to be maintained by the Local such reports as the law requires to be kept in support of reports filed by it.

    -The President, by virtue of his office, shall be a delegate of this Local to the conventions of the International Association of Fire Fighters and the Professional Fire Fighters’ Union of Indiana.

    -President serves as Local 124’s liaison to all political offices germane to the City of Fort Wayne.  Including (Fire Administration, City Council Members, City Administration, etc.)

    Vice-President 

    -Shall perform the duties of the President in the absence of the President

    -He/she shall have general supervision and authority over the activities of the other officers (excluding the President) of the Executive Board, office personnel, and the chairpersons of all committees. 

    -He/she shall preside when called upon by the President and at all times when the President may be temporarily unable to discharge his/her duties. 

    -He/she shall further assist the Local in such a manner as the President determines.

    -Committee Chair for Get Green Event for Local 124

    -Responsible for Supervision of Committees and their accountability

    -Responsible for general cleaning of building

    Recording Secretary 

    -Shall have custody of all books, papers and effects other than those under the authority of the Secretary Treasurer. 

    -He/she shall maintain an accurate record of the minutes of all meetings of the Local and Executive Board. 

    -He/she shall conduct all necessary correspondence of his/her office and attest all official documents with his/her signature and the seal of the Local. 

    -The Recording Secretary shall discharge on behalf of the Local Union such duties as may be imposed upon him/her by applicable law including the execution and filing of any reports to the Federal or State authorities, and he/she shall cause to be maintained by the Local such reports as the law requires to be kept in support of reports filed by it.

    -Responsible for all correspondence to Local 124 Stewards and information to the Body

    -He/she shall further assist the Local in such a manner as the President determines.

    -Assist Office Manager/Treasurer with maintaining active and retired rosters and mailing lists.

    -Responsible for general cleaning of building

    Secretary Treasurer 

    -Maintains an accurate account between this Local and its’ members. 

    -He/she shall receive all moneys due the local from whatsoever source, and shall have charge of all funds of the Local and shall make disbursements there from only by draft countersigned by the President to cover all expenses of operating and administering the business and affairs of this Local Union as authorized by the Constitution and By-Laws and the actions of the membership in meetings. 

    -He/she shall deposit all funds in financial institutions recommended by the Executive Board and shall submit monthly financial reports to the membership at regular meetings and an annual financial report at each annual meeting in February. 

    -He/shall shall submit all financial records and receipts for audit to the trustees when called upon to do so, and at the expiration of his/her term of office. 

    -He/she shall maintain a list of all members in good standing and their respective dues and assessments and shall notify all members who fail to remit their dues and assessments by the fifteenth (15th.) day following the month such moneys are payable, of the amount of their indebtedness and their impending suspension and loss of privileges in the absence of payment within sixty (60) days. 

    -The Secretary Treasurer shall discharge on behalf of the Local Union such duties as may be imposed upon him/her by applicable law including the execution and filing if any reports to the Federal or State authorities, and he/she shall cause to be maintained by the Local such reports as the law requires to be kept in support of reports filed by it.

    -He/she shall further assist the Local in such a manner as the President determines

    -Responsible for general cleaning of building

    Trustees Responsibilities 

    -The Trustees shall audit the records of the Local annually and at any other time they, or the membership, may deem necessary and shall report their findings to the membership of this Local and to the International General Secretary Treasurer.

    -Trustees will manage/maintain miscellaneous duties including but not limited to ordering of supplies for 1405 Broadway, cleaning 1405 Broadway, and coordinating all events that are held on behalf of 1405 Broadway.

    -Trustees are members on various committees and are responsible for conveying subject matter from those meeting to the executive board.  

    -Trustees assist Office Manager with Hall rentals

    -Trustees are in charge of submitting and accounting of all union time for Local 124.

    - Trustees shall further serve Local 124 in such manner as the President or Secretary Treasurer request.

    Office Manager 

    -Responsible for actively pursuing sponsors/donations for events to offset salary for each year

    -Letters/fax/e-mail correspondence to members

    -Daily phone correspondence

    -Filing of all Paperwork for Local 124

    -Correspondence with Retirees and Active Firefighters (Emails, Letters, etc.)

    -Maintain a Current Database of Active Members/Address Lists including Updating and maintaining all contact info on union website

    -Coordinator of all events at Hall (Rentals, Tailgates, Building Tours)

    -Coordinate schedules for President

    -Maintain equipment; establish rapport, and liaison with community members

    -Updating and Ordering Supplies for Office

    -Responsible for taking orders for all Job/Duty Shirt

    -Creating and sending out mailings/postcards

    -Seeking local businesses to advertise in a new Union Calendar including collecting all important dates/photos for use in new Union Calendar and putting together the New Union Calendar

    -Printing all Union Event Posters/Flyers/Mailers

    -Creating all vote cards/ballets

    -Help research information for committees (i.e. PAC, Get Green, etc.)

    -Maintains our Professional Appearance in Executive Board’s absence.

    -Responsible for general cleaning of building

    -He/she shall further assist the Local in such a manner as the President determines

    Website Manager 

    -Website Administrator/Manager- Takes care of all Website Functions and design (www.iaff124.organd   www.fortwaynegetgreen.com)

    -Communications Administrator- Responsible for the Dispatch and the Watch

    -Responsible for designing of logo items, design apparel, and flyers

    -Inventory Control and Logo Item Sales

    -Responsible for all Get Green Promotions and Design

    -Responsible for general cleaning of building

    -He/she shall further assist the Local in such a manner as the President determines

    Website Manager and Office Manager are required to be at Union Hall a minimum number of hours each week.
